If we are requested to send chart notes for an audit and for some reason the notes did not get electronically signed, is it acceptable to manually sign the notes,

Absolutely not. A signature is a legal document. We fight w/our MD's all the time for their signatures. Just in case we were ever audited. The note SHOULD be signed w/in 48 hours but I have seen providers sign their notes at the end of the month and they don't put a DOS on it. Therefore we cannot submit to the insurance company and we have to eat the charge.
Going forward, I would bring this particular case to the provider and tell them that the monies paid will have to be returned.
